About the Position

 RisingOaks Early Learning Ontario is seeking a Manager, Facilities Design & Projects to support the continued growth and quality of our leased child care environments. 

This role is responsible for the overall coordination and stewardship of our physical environments across multiple locations. RisingOaks operates within leased facilities, primarily in partnership with school boards. As such, this role focuses on ensuring that program spaces are safe, compliant, well-maintained, and aligned with operational needs, while working closely with landlord partners on base building matters. 

The role includes ongoing facility oversight, coordination with school boards and other partners, and the planning and delivery of minor capital and infrastructure projects. It will also support senior leadership during the design and construction phases of new child care centres within leased premises, helping to ensure that final spaces reflect RisingOaks’ requirements. 

The successful candidate will be organized, practical, and able to hold multiple moving pieces at once. They will be comfortable working across sites, building relationships with supervisors, and representing RisingOaks in conversations with external partners. 

This role is intended to take ownership of a broad portfolio of work. It ensures that projects move forward, details are tracked, and issues are identified early and addressed thoughtfully. The role works independently within its scope while collaborating closely with senior leadership on larger projects, procurement decisions, and strategic initiatives, allowing leadership to stay focused on broader organizational priorities.            

Key Responsibilities
Facility Oversight & Planning

  • Develop, review, and maintain fire safety plans for all locations in coordination with school board partners 
  • Conduct regular site visits and walkthroughs with centre supervisors to identify maintenance and operational needs 
  • Identify and prioritize capital items requiring repair or replacement 
  • Coordinate annual playground inspections and maintenance 
  • Work with internal terms to ensure centres meet health, safety and accessibility standards related to items within your scope of practice. 
  • Complete minor repairs where appropriate, or source and manage external service providers within budget 
  • Coordinate with landlord partners regarding base building systems and requirements 
  • Establish and maintain compliance-related requirements such as drinking water system inventories and applicable registrations (e.g., DWIS) 
  • Track and follow up on facility-related issues to ensure timely resolution 

Design Projects & Expansion (in collaboration with senior leadership)

  • Lead coordination of design projects, including new site development, retrofits, renovations, minor capital needs within leased spaces 
  • Participate in design meetings and review drawings to ensure alignment with operational and program needs 
  • Liaise with general contractors, architects, engineers, school boards, and other partners 
  • Monitor project progress, timelines, and deliverables, ensuring follow-through and accountability 
  • Identify and raise risks or gaps early, and support resolution 

Procurement & Project Management (in collaboration with senior leadership) 

  • Obtain quotes and support procurement processes for facility, building, and infrastructure projects 
  • Support the development and issuance of Requests for Proposals (RFPs) 
  • Participate in the evaluation of submissions and vendor selection processes 
  • Coordinate project timelines, documentation, and communication across stakeholders 

IT & Infrastructure Projects  (in collaboration with senior leadership) 

  • Coordinate IT-related projects such as device rollouts, phone systems, security and other infrastructure upgrades 
  • Liaise with external vendors to ensure solutions meet operational needs 
  • Support implementation planning and readiness across centres 

Planing & Budgeting

  • Support minor capital planning and budgeting process
  • Track project and facility related expenditures
  • Contribute to longer-term planning for repairs, replacements and upgrades

Partnership & Representation 

  • Represent RisingOaks in interactions with contractors, consultants, landlords, and partners 
  • Uphold organizational standards in all external discussions 
  • Ensure that decisions and outcomes reflect RisingOaks’ operational needs and priorities 
  • Stay current with regulatory changes affecting child care facilities (e.g., Child Care & Early Years Act, Ontario Building Code, Health & Safety Act). 

Desired Qualifications & Experience

  • Experience in project management, facilities coordination, or a related field 
  • Experience working with contractors, consultants, or in construction/renovation environments 
  • Strong organizational skills and ability to manage multiple projects simultaneously 
  • Ability to review drawings and translate plans into operational implications 
  • Sound judgment and ability to work independently 
  • Strong communication and relationship-building skills 
  • Experience in child care, education, or not-for-profit settings is considered an asset. 

Required Knowledge 

  • Knowledge of facility operations within leased environments, including tenant vs. landlord responsibilities 
  • Understanding of fire safety requirements and maintaining fire safety plans across multiple sites 
  • Familiarity with health, safety, and regulatory requirements in child care or similar settings 
  • Understanding of capital planning, including lifecycle replacement, prioritization, and budgeting 
  • Knowledge of construction and renovation processes, including reviewing drawings and participating in design discussions 
  • Familiarity with procurement processes, including quotes and RFPs 
  • General understanding of building systems, with ability to coordinate with external partners 
  • Awareness of compliance requirements such as drinking water systems (e.g., DWIS), or ability to learn quickly 
  • General understanding of IT and infrastructure projects from a coordination perspective 
  • Ability to apply knowledge in practical settings, balancing operational needs, compliance, and resources 

Schedule:  

                   Monday to Friday (schedule to be confirmed) 
                   37.5 hours per week with flexibility as required 
                   Occasional evening (e.g., staff meeting)

Compensation: paid hourly 

• $41.50 to $49.80 per hour 

• Estimated annual salary, based on 37.5 hours per week would be $80,925.00 - $97,103.22
